Intern Listserv Guidelines…

There are two NASA listservs available for our convenience. Feel free to use them. Remember, though, that they are NASA (that is, government) listservs, so there are some limits on how you should use them. Most of what follows is common sense, but read it anyway.

arc-nextgen-info: Used for strictly job-related activities and includes volunteer events open to all interns, tours and lectures organized for all interns, or official intern gatherings (organized by a NASA or contractor organization or coordinator). Articles pertaining to launches or other space-related activities may be posted on this listserv, as well.

To avoid losing the privilege of having the arc-nextgen-info listserv, DO NOT:

  • Use profanity

  • Post non-work related social activities

  • Sell things, ask to buy things, or do anything else commercial (use the social list for that

Also, please do not send humongous file attachments to the listerv.  (Use your judgement, but 50 K is good; 2 MB is not good.)  Remember that your message will go out to every subscriber, and they won't all want to download your 12-megapixel shot of the building for which you're arranging a tour.  Also, distributing a few hundred copies of a 2 MB image file can annoy the server.

arc-nextgen-social: Used to facilitate organizing our social activities. Only events open to all interns and new hires should be placed on this listserv. Remember: this listserv includes more than just interns; there are some full-timers, contractors, and other temporary groups included in the arc-nextgen-social listserv. You may use this listserv to inform interns of sporting events (games to watch or to play), any type of ‘get together’ open to anyone (parties, movie nights, lunch/dinner events, etc.), and organized trips.

To avoid losing the privilege of using the arc-nextgen-social listserv, DO NOT:

  • Use profanity

  • Make off-color/politically incorrect/offensive jokes or statements

  • Say anything you would not want a superior to read (i.e. any references to getting drunk or drugs or anything overly private or illegal)

Also, avoid clogging the listserv—this means to avoid using e-mails to distribute unimportant information that does not apply to the entire listserv (do not use the listserv to rid yourself of boredom, ask your mentor for something to take care of that).

Within reason, you may use the social list for commercial activities. Don't try to start a business using it. It won't work, and it will annoy everyone around you. However, if you are looking for a place to rent, have a place you can rent to someone else, want to buy a bike, etc., that's all good.

When replying to e-mails from the arc-nextgen-social listserv, reply to the sender only. If you would like many people to see your response, please put individual e-mail addresses in the To: block. When you are the sender, send only one e-mail out about each event, including as much information as possible in it (dates, times, locations). If people have questions, they will all respond only to your e-mail address. You may send out a final e-mail if there are any changes to the plans. If there are questions, however, please only respond to the inquirer’s e-mail address, not the entire listserv.

Keep in mind: Your coordinators, directors, and supervisors may have the capability to view any and all e-mails that pass through both listservs. Many of the coordinators WILL be on the lists.

HELPFUL TIP:

To separate these non-essential emails from the greater body of your work emails, we suggest you set up a special filter and folder to direct them to it (or you could subscribe your home/school/personal email and not your work email, especially to the "Social" list).

In Outlook

Tools | Rules & Alerts

"New Rule"

"Start creating a rule from a template" | "Move messages from someone to a folder"

Then type the email of the list and designate the folder you want to put it in.

There are other informative NASA mailing lists, too.
